Step 1: The Registration of Researchers
Anyone wishing to consult records within the Archives, must complete and sign a Researcher's Registration Form which would be filed and entered into our GENCAT Researcher's database. This enables us to create any audit trail of our researchers over time. All researchers would be asked to read and abide by the Rules of the Reading Room.
Step 2: The Issuing of a Reader's Card
After registering, all researchers are issued a reader's card with a barcode. Each card is unique to that individual and therefore cannot be transferred to another individual. The barcode is linked to information on the researcher in the GENCAT researcher's database. The card therefore, must be shown at every visit to the Archives.
Step 3: Searching Records
A researcher may conduct a search for records using the GENCAT Archives Database. To use the GENCAT Archives database, please see the GENCAT Instruction Manual for Researchers. Two cubicles are provided in the Reader's Room of the Archives for researchers to conduct searches.
Step 4: Requesting Records
Researchers wishing to request records for consultation must complete a Request Form stating the BARCODE and TITLE of each record they wish to consult, as found in the GENCAT Archives Database. The form must be submitted at the front desk. The Reading Room Attendant would enter the request into the GENCAT system under the researcher's name and retrieve the record from the repository for consultation in the Reading Room.
Step 5: Returning Records
Researchers must return all records to the Reading Room Attendant before leaving the Archives.
